1. General

The General Terms and Conditions regulate the registration and cancellation procedures, the protection of personal data, the registration fee, and the method of payment, as well as event delivery and the conditions of participation and access to materials for events organised by the Slovenian Energy Association, Pot za Brdom 100, 1000 Ljubljana, Slovenia (hereinafter referred to as the Organiser).
The General Terms and Conditions shall form an integral part of each registration for each event, regardless of the form of registration, and shall apply to all events and participants and, mutatis mutandis, purchasers of materials, unless expressly stated otherwise by the Organiser in writing on the event website for a particular event.
Each person registering for an event irrevocably, unconditionally, and fully accepts these General Terms and Conditions, which are published on the Organiser’s website in each version in force for the event.

2. Protection of personal data

The personal data obtained will be used in accordance with the Personal Data Protection Act and the GDPR for the purposes of organising the event and communicating with the participants and will not be disclosed to third parties without the consent of the data subjects. 3. Registration, registration fee, and payment

Registration
Registration for an individual event can be submitted until places are available via the online form on the event subpage of the website www.sze.si or by e-mail to info@sze.si. Online registration is confirmed when you receive a confirmation e-mail.
For in-person events, the application form may also be completed and submitted on the day and at the location of the in-person event if such an option is provided and communicated on the website.

For online events, registration and subsequent access to the event on the day of the event shall be possible after payment has been made if such an option is provided and communicated on the website.

Registration fee
The registration fee and what it includes are specified for each event and communicated on the event website. VAT is generally not included and is charged separately at the applicable tax rate.
The communicated discounts are valid for prompt payment. Otherwise, the full registration fee will be charged. The due date is indicated on the proforma invoice.

Payment
The invoice for payment of the registration fee will be issued after the service has been delivered, or a proforma invoice may be issued in advance. The due date for payment is specified on the invoice or proforma invoice. The fee may also be paid before receipt of the invoice or proforma invoice.
Payment is usually made before the event to the transaction account opened with Nova Ljubljanska banka d.d., Ljubljana: SI56 0201 0025 4562 983.

4. Discounted rates

Discounts for each event are specified on the event webpage. The discounted rates will apply if the participant claims them within the specified time limit or if they prove the existence of a circumstance justifying the discount. In order for discounted rates to apply, payment must be made on time, within the time limit stated on the proforma invoice. Otherwise, the full registration fee will be charged. Discounts are not cumulative.

Students
Students are entitled to a special discount on the registration fee for events where this is explicitly stated. Students must present a valid ID, student card and/or school certificate at the time of registration. The student discount is generally available to full-time undergraduate bachelor’s and master’s students. Persons in full-time employment are not eligible for the student discount.

Pensioners
Pensioners are entitled to a special discount on the registration fee for events where this is explicitly stated. Pensioners must present a valid ID and a copy of their pension receipt slip.

5. Registration cancellation and replacement of participants

Registration cancellation
Registration cancellation without payment of the registration fee is possible when done in writing to info@sze.si no later than 5 days before the event unless expressly stated otherwise on the webpage for a specific event.
In the event of late cancellation, i.e. less than 5 days before the event, or non-attendance at the event, the full participation fee for the registered participation will be charged.
Registration cancellation without payment of the full registration fee is not possible if, at the time of registration, the participant has requested payment after the event. In this case, the full registration fee will be charged.
Non-payment of the proforma invoice and/or non-participation in the event does not constitute an automatic cancellation of the registration. If a registrant wishes to cancel their registration, they must notify info@sze.si in writing at least 5 days prior to the event. Otherwise, cancellation is no longer possible.

Replacement
Participants may be replaced at no extra charge if the change is notified in writing to info@sze.si. Replacement is free of charge and is possible until 15:00 on the last day before the event.

6. Event change or cancellation

The Organiser reserves the right to change the content of the programme, the date, or the location of the event.
The Organiser also reserves the right to cancel the event. In this case, the Organiser shall inform the participants already registered of the cancellation of the event by e-mail or telephone and shall refund in full the payments already made or, in agreement with the participant, retain the funds for participation in another educational event in the current year.

7. Changing the mode of participation for hybrid events

If a participant does not wish to or is unable to attend the event in person and if the Organiser has provided for online attendance of the event, the participant may change their mode of participation in the event from the “in-person” option to the “online” option at no additional charge. The change is free of charge and can be made in writing to info@sze.si. If such a change of mode is communicated as late as the day of the event, the Organiser reserves the right to implement the change and provide online access at its earliest convenience.

A change of the event participation mode from online to in-person may be made in writing for an additional fee up to the value of the in-person registration fee as applicable on the date of the notified change. The change must be notified by 8.00 a.m. on the last day before the event to info@sze.si.

8. Conditions for the participation of accredited journalists

The Organiser may, at its discretion, allow invited and accredited journalists to attend certain events free of charge. Accreditation shall be obtained by timely application and shall be evidenced by a press card and a written statement from the editorial office that the journalist will cover the event and report or write an article on it for the relevant media outlet.

9. Event materials

If the registration fee includes working materials for the event, these will be published and made available on the Organiser’s website for a specified period of time. Contributions by foreign speakers are generally published in the original, without translation into Slovenian.
At the Organiser’s discretion, paid access to the materials published on the website may be made available after the event from events accessible on the website www.sze.si. Purchase is normally possible online. Upon successful purchase, the purchaser will receive a confirmation e-mail of the purchase, a username and password, and the time availability of access to the material purchased to the e-mail address provided.
Access to the material is limited to one registered user, and the transfer of access data and material to third parties is considered a violation of licensing and intellectual property rights. In this case, the Organiser may block further access to the material; the purchase price for the material is non-refundable.

10. Event and lecture content

The content of lectures and statements delivered at individual events reflects solely the views of the speakers or authors and not necessarily those of the organisations in which they are employed or of the Organiser.
Lectures to be held in a foreign language without translation into Slovenian will be specifically marked and announced by the Organiser in advance in public announcements of the programme. Participants may send a written note to info@sze.si at least 10 days before the event requesting a translation into Slovenian. The Organiser will provide the translation if technically and organisationally feasible.

11. Event photographing and recording

The Organiser reserves the right to take photographs and audio- and video-record events, speakers, and participants. The recorded materials and statements of the participants are the property of the Organiser and may be used for the purposes of communicating and promoting the event on the Organiser’s website, in e-mails, on the Organiser’s social networks, in the print materials of the event, in the public media, and other communication channels used by the Organiser for promotion. The Organiser may use the audio, video, and photo material from the events for promotional purposes for an unlimited period of time.
If a participant does not wish to be included in the photo, video, or audio material, they must expressly notify the Organiser in writing at info@sze.si so that they can be identified and excluded from the image material in which they have been photographed or filmed at close range in a way that they are easily identifiable.
Persons other than accredited journalists may only film or photograph parts or the whole of the event with the written consent of the Organiser. Such material may not be used for any purpose other than to inform and publicise the event through print and online media without the express written consent of the Organiser.

12. Direct marketing

The Organiser may use the personal data received from participants and purchasers of the material or other products and services of the Organiser for direct marketing of its similar services or events and products. The Organiser shall store and process the aforementioned personal data until the participant’s written withdrawal of consent. The participant may at any time request in writing that the Organiser permanently or temporarily cease using their personal data for direct marketing purposes. The Organiser is obliged to adequately prevent the use of their personal data for direct marketing purposes within 15 days and to inform the individual who made the request in writing within a further five days. The costs of these actions in connection with the termination of the use of the data subject’s personal data shall be borne by the Organiser.

13. Restriction on direct marketing at events

Direct marketing at the Organiser’s events, whether organised in-person or online, including but not limited to pre- and post-event activities, is only possible on the basis of a partnership agreement with the Organiser. To ensure a pleasant user experience and a distraction-free environment for event participants, the Organiser does not allow direct marketing by other event participants or unauthorised stakeholders who have not entered into a partnership agreement with the Organiser. This rule includes, but is not limited to, the following activities:
– non-contractual exhibiting, portable exhibition stands, catering services;
– non-contractual activities for membership recruitment and event promotion;
– non-contractual receptions, parties, meetings, and similar events (including off-site events) for speakers, participants, and other guests of the event during the time they are engaged by the Organiser;
– recruitment of conference participants or staff of the Organiser;
– non-contractual distribution of printed or electronic materials, including literature, signs, leaflets, invitations, tickets, forms, etc. (excluding business cards).

Any individual and/or organisation found to be in breach of these rules may be removed from the event without a refund of the ticket price. The Organiser shall be entitled to charge a compensation of EUR 1500 excluding VAT against the offenders, without prejudice to any other claims for damages by the Organiser against the offender.

14. Code of Conduct at Events

If a participant behaves in an inappropriate, unlawful, offensive, or harmful manner towards other participants or the Organiser or otherwise disrupts the event, the Organiser reserves the right to exclude the participant from the event. In this case, the participant shall not be entitled to any refund of the costs or the value of the ticket. The Organiser reserves the right to make additional claims for damages.

15. Communication

The participant agrees to be kept informed of the Organiser’s offer. The participant may withdraw their consent to be informed at any time by written notification to the Organiser.

16. General Terms and Conditions Validity

The General Terms and Conditions shall apply from 1 March 2025.
