This Privacy Policy sets out how the Slovenian Energy Association (hereinafter referred to as SZE) collects, holds, and processes any personal data that you give us when you subscribe to receive our communications such as newsletters, invitations, publications and other SZE products.
We respect your privacy and are committed to ensuring that your personal data is protected as required under the Personal Data Protection Act (ZVOP-1) and the Rules on Personal Data Protection, and will only use the data for the purposes specified in this privacy statement.
We collect personal data in accordance with ZVOP-1, based on legal provisions or personal consent of individual users. Before you as an individual user are asked to provide consent to the processing of your personal data, you are informed about the purpose of personal data processing in writing or in some other adequate manner.
We collect the personal data you provide us with when ordering any of our services, or when requesting a transaction to be made through our website, e.g. to become an SZE member, to register for a training programme, seminar, panel discussion, conference or meeting, or to subscribe to the SZE newsletter or to communications about SZE activities.
We store personal data in writing, in electronic form. After the need for holding data expires or the purpose of collecting personal data has been served, or if you have chosen to unsubscribe or have requested erasure of your personal data, the data is deleted permanently and definitively.

LEGAL BASIS

This Privacy Policy has been created with reference to the applicable Slovenian and EU law.
The privacy statement has been developed in accordance with the Personal Data Protection Act (ZVOP-1, Official Gazette of the Republic of Slovenia, No. 94/2007 and amend.), the Regulation (EU) 2016/679 of the European Parliament and the Council from 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data and repealing Directive 95/46/EC (General Data Protection Regulation, GDPR), the Electronic Communications Act (ZEKom-1, Official Gazette of the RS, No. 109/12 and amend.), and other pieces of Slovenian and European legislation governing these fields.

LEGAL PRINCIPLES

SZE adheres to the legal principles pertaining to the processing of users’ personal data pursuant to the law.
We process users’ personal data in a legal, fair, and transparent manner. We collect this information for purposes that are legal and set out in advance. We do not transfer your personal data to third parties.
We process all personal data only to the extent and for the purposes for which it has been collected.
We only keep personal data for as long as it is necessary for the purposes for which it has been collected.
We ensure protection of all the personal data we collect, which includes the prevention of unauthorised or unlawful processing.
This Privacy Policy is intended for the visitors and users of the website www.sze.si.

TYPES OF PERSONAL DATA

We collect the following types of users’ personal data:

  • Address of permanent or temporary residence,
  • Postal name and town,
  • E-mail address,

  • Cookie IDs,
  • Attendance at training programmes, seminars, panel discussion, examinations and other events organised by SZE (time, date and type),
  • Name of the payer of a membership fee or an attendance fee for a seminar, workshop, panel discussion or training programme,
  • Photographs and videos or audio recordings made at SZE events,
  • Other personal data voluntarily provided to SZE by a private individual.

PURPOSE OF PERSONAL DATA COLLECTION

SZE is a non-profit, non-governmental specialist organisation that brings together experts and other stakeholders in the energy sector. This was the main guideline in defining the purpose of collecting, processing, holding and using the information provided by legal entities and the personal data provided by private individuals.
The information specified above is used for the purposes of providing services arising from the membership contract or other legal grounds (e.g. registration for an event), providing information and notifications (e.g. newsletters, event reminders and announcements, invoices, provision of services), and direct marketing (informative materials and promotions).
The events organised by or in collaboration with SZE may be documented by means of video and/or audio and/or photography. The attendees of the events are informed of and agree to the use of such means in advance when registering for a specific event. Audio-visual works or photographs may be used publicly for promotion or to inform the public about the subject matter of the event. Any individual has the right to request SZE to remove the video or photograph in which they can be recognised. After the receipt of such a request in writing, SZE will immediately remove such file from the server. However, SZE cannot be held responsible for the publication of photographs or videos made by other persons. SZE handles its photography and video archives with due care and in accordance with the law.
The Controller collects and processes personal data for the purposes stated below.

Explicit consent is NOT necessary for:

  • fulfilment of contractual obligation,
  • provision of information (regarding the purchase of a product or service) arising from contractual obligation,
  • replying to users’ enquiries made by filling out the website contact form,
  • registration of users through the website for the purpose of using the Controller’s services.

Explicit consent IS necessary for:

  • sending newsletters with promotional content,
  • collecting users’ data for the purpose of target marketing/remarketing (Google Analytics, Facebook Pixel, etc.).

All types of data specified above are used to keep you informed about or confirming your payment when you are purchasing a service or registering for an event. In addition, your e-mail address is used to provide you with news and recommendations (promotional messages and newsletters).
You may unsubscribe from our “promotional messages” and “newsletters” at any time by clicking the relevant link in the e-mail message or letting us know to do this for you.
We process the personal data that you give us when subscribing to our newsletters, registering for events or requesting other SZE products with your explicit and unambiguous consent pursuant to Article 6 (1) (a) of the EU General Data Protection Regulation (GDPR). With regard to the e-mail messages we send you, in order to improve the quality of our products and services and for statistical purposes, we also process the data on our message performance and clicked links in these messages.

You give your consent to the processing of your personal data by clicking “Become a member” and “You can register here” on the website www.sze.si. You may withdraw your consent at any time by clicking the link to “update your user preferences or unsubscribe”, which you can find in the footer of any e-mail message you receive from SZE, or by sending an e-mail to info@sze.si. If you choose to withdraw your consent, your personal data will no longer be used to keep you informed about SZE activities (news, events and training programmes, services). Such withdrawal of consent will not affect the lawfulness of the processing of your personal data prior to this withdrawal.

Contact forms/newsletters

The website www.sze.si generally uses one form for the purpose of registration or membership. Additionally, it may use a second form for subscription to the conference of SZE and a third form for enquiries. Through these forms we collect the following personal data:

  • Name and Surname
  • E-mail address

We collect this information to send you newsletters and promotional messages associated with SZE activities. Your consent to the terms and conditions of our data protection policy is required to activate any of the two categories.

Data storage

SZE keeps your personal data for as long as it is necessary for the purpose of processing to which you have given consent. If you no longer wish to receive messages from SZE and you choose to unsubscribe, or if you withdraw your consent to the processing of your personal data for this purpose, your data will be deleted from the SZE system or blocked, and your data will no longer be used for this purpose.
The period of personal data storage may differ depending on the applicable law governing the sector (e.g. tax or accounting legislation). If the applicable law governing the relevant sector stipulates personal data storage periods, SZE will delete personal data after the expiry of the period prescribed by law.

PROCESSOR DATA AND RESPONSIBLE PARTY

Data users include the website administrator and persons authorised by SZE. Access to personal data is given only to authorised SZE employees and processing contractors (such as parties developing and maintaining computer applications, websites and IT services; parties developing and rolling out software solutions; agents in making and implementing contracts including recovery of claims and potential legal proceedings), to the extent and for the purpose necessary for smooth implementation of work processes, provision of SZE services, and honouring the rights and obligations arising from contractual relationships.
Some organisations or companies that may have access to your personal data as our Processors may be based outside the EU, in countries whose law may not give you the right to protection of your personal data in the same way as this is done in the EU, or Slovenia specifically. In the event that your personal data is transferred to third countries (outside the EU and EEA), we will ensure the implementation of appropriate measures to protect your personal data and fundamental rights and freedoms in accordance with applicable national and EU regulations and this Privacy Policy by using the envisaged mechanisms such as binding corporate rules, standard contractual clauses, etc.

Data Processor is a party processing personal data on behalf of the Controller. A processor may only process the personal data and for the purposes they have been contracted for by the Controller.
All our Personal Data Processors only process the data that may be processed under the applicable law.
On behalf of the Controller, users’ personal data is processed by the following Personal Data Processors:

1. Google Analytics

When you agree to the use of cookies on our website, the website traffic generated by your clicks is tracked and reported to Google Analytics. Thanks to Google Analytics, we can analyse the behaviour of the users of www.sze.si. As the information thus collected is anonymised, we cannot use it to ascertain a user’s identity.
With Google Analytics we can gain the following information:

  • Which sites (topics and subject fields) you have visited,
  • How much time you have spent on each site,
  • Total visit duration.

The algorithm used by Google Analytics is confidential and may be changed by Google at any time.

2. Google AdWords

On our website we use the Google Ads service provided by Google Inc. Google Ads uses cookies in order to display, at a later point, online advertisements within the Google ad network to our website users as part of remarketing campaigns. To place remarketing ads, third-party providers use Google’s cookies based on website traffic. As a user, you may deactivate Google’s use of cookies by changing the ads preferences on http://www.google.com/ads/preferences.

3. Company SCC d.o.o.

SCC d.o.o. provides to us maintaining and updating services for www.sze.si. To this end, the company’s maintainers/programmers and our administrator have access to the data provided by the association’s registered members.
The personal data they can access includes:

  • Username (nickname),
  • Name and surname,
  • Company,
  • Address,
  • Telephone number,
  • E-mail address.

SCC d.o.o. is committed to using the personal data of our members for no purpose other than to fix the website errors and ensure its smooth operation.
You may access your personal data at any time (provided that you have gained access to your account). Your personal data may also be accessed by SZE or our data processor SCC d.o.o. (only in the event of problem solving).

The Controller processes the personal data of website users and association members through legal entities in has entered into a business relationship with.
Contractual basis for processing
When you order a service, your contract with the Controller becomes the contractual basis for processing your personal data. Personal data and newsletters
Each e-mail message we send you contains a link to a site where you can unsubscribe from our newsletter. If you cannot find the link, let us know at info@sze.si, and we will help you unsubscribe or delete your e-mail address from our mailing list.

FINAL PROVISIONS

General

SZE is not responsible for any errors that may result from the submission of false data. In the event of changes, updates or false personal data SZE members may check and, if necessary, change or amend their data submitted with the membership application on the membership website. Others may do so by contacting us at info@sze.si.

When your SZE membership expires, or you choose to terminate it, your data is deleted permanently unless there are legal grounds for continuing to keep your personal data.
As the SZE website contains links to other websites that are in no relation to SZE, SZE assumes no responsibility for the protection of data on these websites.

Binding nature of legal conditions

This Privacy Policy applies to all users of the website who provide us with their personal data for management and processing.
This Privacy Policy is binding for the Controller, the Processors, and users in submitting, managing, and processing users’ personal data. The policy is an integral part of any processing of personal data in accordance with the purposes specified in advance, with grounds for processing, with users’ consent, and with the categories of personal data subject to processing.

This Privacy Policy applies to all users or visitors of www.sze.si without exception.
By using the Controller’s website, you confirm that you have read this Privacy Policy. The policy is available on the Controller’s website and with all the forms and actions in which you submit your personal data for processing.
In the event that major changes are made to the content of this Privacy Policy which will affect the processing of your personal data, we will inform you of such changes by e-mail, to the address you have submitted to us. All those who have provided no e-mail address when registering or have submitted false information, can access the applicable privacy statement on our website.
If you continue to use the SZE website, your user account or SZE services after the Privacy Policy has been changed, we assume that you agree to the changes made.
